Orders, quotes and purchasing

Order management and quoting tools

We build systems that carry an enquiry all the way to invoice without anyone retyping the same details. Quote, order, purchasing and delivery in one connected flow.

  • A quote becomes an order in one click
  • One status for sales, warehouse and finance
  • Nothing is typed in twice

From quote to order to invoice

In most companies the data already exists, but it lives in different systems. Customer details are typed into the quote, then the order, then the invoice. Every retype costs time and adds another chance to get it wrong.

Enquiry

Arrives by form, email or phone and is registered against the customer immediately.

Quote

Built from articles and prices in the system, with the correct margin calculated.

Order

An accepted quote becomes an order in one click, with nothing retyped.

Purchasing

Whatever is missing from stock is ordered from suppliers, linked to the order.

Delivery

Picking, packing and shipping all work from the same order line.

Invoice

The data is already complete when it is time to invoice.

Quoting tools: answer faster than the competition

Whoever answers first often wins the deal. A quoting tool is less about beautiful documents and more about cutting the time from enquiry to answer.

Templates and articles

Build the quote from ready made line items instead of writing from scratch every time.

Prices and margin

Customer specific prices and discounts are pulled automatically, and margin is visible as you write.

Versions

The customer asks for a change and you send version two without losing the history.

Follow up

The system reminds you about unanswered quotes instead of letting them be forgotten.

Order management systems

Once the order exists, everything depends on everyone seeing the same thing. Sales, the warehouse and finance should not have to call each other for status.

Shared status

An order line has one state everyone sees, from confirmed to delivered.

Partial deliveries

Orders shipped in batches stay linked, so the invoice comes out right.

Backorders

What could not be delivered is held and picked up automatically when stock arrives.

Customer visibility

A portal where customers see their orders instead of emailing to ask.

Purchasing systems and suppliers

Purchasing by email works until volume grows. Then deliveries start going missing that nobody can prove were ordered.

  • Purchase orders linked to customer orders or stock levels
  • Automatic reorder suggestions when a balance crosses a threshold
  • Delivery monitoring with reminders when something is late
  • Invoice matching against purchase order and goods receipt
  • Supplier registry with prices and lead times

Integrations

We rarely build the whole chain from nothing. Usually parts are already in place and what is missing are the links between them.

Finance system

Orders and invoices sync with the accounting system you already use.

Warehouse

Stock and picking connected to the order line in real time.

E-commerce

Webshop orders land in the same flow as manual ones.

How it works

Frequently asked questions about orders and quotes

What is an order management system?

A system that tracks an order from confirmation through delivery and invoicing, with one shared status that sales, the warehouse and finance all see. The point is that details are entered once and then travel through the whole chain.

What is a quoting tool?

A tool that lets you build quotes from ready made articles and prices instead of writing each quote from scratch. Customer specific prices are pulled automatically, margin is visible as you write, and an accepted quote can become an order without anything being retyped.

Can a quote become an order automatically?

Yes, and that is usually where the most time is saved. When the customer accepts, the quote converts into an order with the same lines, prices and customer details. Nobody retypes anything, so no discrepancies appear between what you quoted and what you deliver.

Do we need to replace our finance system?

Usually not. We build the order flow on top and sync with the accounting system you already use. The finance part is rarely the problem, the path to it is.

Can the system suggest purchases automatically?

Yes. It can raise reorder suggestions when a balance crosses a threshold or when a customer order needs something you do not hold. The suggestion links to the order so you can see why the purchase was made.

Can customers see their own orders?

Yes. A customer portal showing status, partial deliveries and history cuts the number of emails and calls asking where an order is.

What does an order or quoting system cost?

A quote to order flow connected to your finance system normally starts around 150,000 SEK. Purchasing, warehouse and a customer portal push the price up. You get a fixed price before the build starts.

How long does it take?

Quote to order is usually live within 6 to 10 weeks. Purchasing, warehouse links and the portal are built after that, so you stop double entering before the rest is finished.
